Duties and Responsibilities
- First-line representative for clients or visitors entering the office
- Managing diary and mail (including e-mail) – in conjunction with your partner at Reception
- Schedule Meeting Rooms and Planning Refreshments, purchasing such refreshments when needed
- Assisting with research on venues, organizing office events, and being available to oversee this
- Liaising with Handyman, Vending Machine, Water Deliveries, Fruit Deliveries, Shred-It, Stationery, and Plants & give invoices to accounts accordingly & the up-to-date filing system for all deliveries & Purchases
- Working in shifts in conjunction with your reception partner to ensure Reception is covered throughout operational hours
- Keeping Reception and the office clean and tidy daily, along with weekly checks
- Purchases: Stationery, Game, Chocolates, Makro, Bathroom Supplies, Pick n Pay, Cups, Milk, Coffee, etc
- Purchasing of vouchers for different departments as and when requested
- Keeping an up-to-date record of suppliers and services we receive to the office like DHL
- Ad hoc duties such as, but not limited to, conducting research, source venues, office-related purchases, printing
- Any other duties as requested by your line manager
Requirements
- 1 Year of Receptionist experience.
- Strong written and verbal communication skills
- Excellent organizational and time management skills
- Great customer service and interpersonal skills
- Friendly, service-oriented personality
- Keen attention to detail
- Problem-solving and basic troubleshooting skills
- Proficiency with common word processing and spreadsheet software
- Comfortable in a fast-paced environment
- Diploma / Certificate in office admin advantageous
- Front desk Client Facing, Operating from a professional office environment, equipped with everything you need for success
